What exactly is an AI agent?
An AI agent is software that independently executes tasks, makes decisions based on rules or context, and takes action without a human needing to trigger it every time. That may sound abstract, but in practice it comes down to concrete tasks: a lead that comes in through a form is followed up within seconds via WhatsApp. A customer who asks a question in the evening gets an immediate, useful answer. An AI agent is not a simple chatbot that recognises keywords. It is a system that combines reasoning and action, typically powered by a language model like Claude or GPT, connected to tools and data sources.
The difference from a regular chatbot is fundamental. A chatbot gives fixed answers to fixed questions. An AI agent can look up information, execute steps, call external systems and make decisions. That makes it considerably more powerful, but also more complex to set up properly. What can an AI agent do for your business?
The applications are broad, but the most valuable ones always lie where people are currently spending time on repetitive or time-sensitive work.
Lead follow-up and sales
- A new lead submitted via a form, LinkedIn or an ad automatically triggers a personalised WhatsApp message.
- The agent qualifies the lead with a few targeted questions and books a call directly in the calendar.
- If there is no response, the agent sends a follow-up, without you having to think about it.
Customer service and frequently asked questions
- Questions about opening hours, deliveries, pricing or procedures are answered immediately, even outside office hours.
- The agent can work from your own documentation, knowledge base or manuals. This is called RAG, Retrieval Augmented Generation. The agent retrieves the right answer from your own data instead of making something up.
- Complex questions are forwarded to a team member, with full context included.
Administration and process flow
- Incoming quote requests are sorted, categorised and pushed to the right system.
- After a completed assignment, a review request or invoice goes out automatically.
- Appointment reminders are sent automatically, significantly reducing no-shows.
How does an AI agent work technically?
An AI agent consists of three layers that work together.
1. The brain. A language model like Claude or GPT processes the input and determines what needs to happen. This model understands language, context and intent.
2. The tools. The agent is connected to external systems via APIs. Think of your CRM (such as GoHighLevel), your calendar, WhatsApp Business, Stripe or a custom database in Supabase. Through tools, the agent can retrieve information, send messages and execute actions.
3. The orchestration layer. Software like n8n connects everything. It determines when the agent is triggered, which steps are executed in what order, and how exceptions are handled. MCP, the Model Context Protocol, is an emerging standard that makes it easier for AI agents to communicate consistently with external tools.
This combination is what makes an AI agent so useful in a real business. It is not a standalone toy, but a link in a larger automation system.
What should you consider before you start?
Deploying an AI agent without proper preparation leads to disappointment. We see this regularly. The technology works, but the system fails because the wrong problem is being addressed, or because no account has been taken of exceptions.
Important questions to ask beforehand:
- Which task currently costs the most time or causes the most errors?
- What does the ideal process look like when it runs perfectly?
- Which systems need to be connected?
- What does the exception look like, and who handles it?
- How are conversations and data stored, and does that comply with GDPR?

Which businesses are a good fit for an AI agent?
An AI agent is not a solution reserved for large companies. Smaller businesses, coaches, service providers and SMEs in professional services, e-commerce or healthcare benefit strongly from it. They often have too few people for the volume of routine communication that comes in, and every missed lead or slow follow-up directly costs revenue.
It is also not a solution you put together yourself in an afternoon. A properly functioning AI agent requires careful configuration, well-crafted prompts, integration with existing systems and a testing phase. But once it is running, it works around the clock.
What does it concretely deliver?
The gains sit in two places: time and speed. Tasks that are currently handled manually by you or a team member are taken over. And actions that currently sometimes take a day or longer, such as following up on a lead, happen immediately.
Speed in lead follow-up is one of the most underestimated factors in conversion. A lead followed up within a minute converts significantly more often than a lead that receives a generic email a day later. An AI agent makes that speed scalable, even when you have ten new leads per day instead of two.
